Speed to Lead CalculatorWhat are slow follow-ups costing you?

A lead fills out your demo form, then waits hours for a reply. By then they've moved on or booked with someone else. Enter five numbers to see how much revenue your response time leaves on the table each year.

How it works

Inbound leads go cold fast. Most teams answer hours too late.

In a Harvard Business Review study of 2,241 U.S. companies, firms that contacted a lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer. They were more than 60 times as likely as firms that waited a day or more. The average response time in the study was 42 hours.

This calculator uses much smaller numbers than that on purpose. It takes your current meeting rate and applies a conservative lift for replying in under five minutes. Then it carries the extra meetings through your close rate and deal size.

Meetings now = leads × lead-to-meeting rate
Meetings at < 5 min = meetings now × lift
Revenue left on the table = extra meetings × win rate × deal size × 12

Why leads wait, even on good teams

It's rarely that reps don't care. More often the lead is stuck somewhere nobody's looking. It might be sitting in a shared inbox, waiting on a round-robin that skips people who are out, or delayed by a form-to-CRM sync that runs every hour. Leads that arrive after 5pm or on weekends also wait until Monday.

The fix is mostly plumbing. Lead scoring and routing sends each lead to the right rep in seconds. A booking step right on the form lets high-intent buyers schedule before they leave the page. And a nurture router keeps leads who aren't ready yet from dropping out. If you're on HubSpot, most of this can be built on the stack you already have with the right setup.

FAQ

Speed to lead questions.Answered plainly.

What is speed to lead?

Speed to lead is the time between a prospect raising their hand, such as submitting a demo request or contact form, and the first personal response from your sales team. Automated confirmation emails don't count. It's measured from the form submission to the first real call or one-to-one email.

What is a good lead response time?

Under five minutes during business hours is the target for high-intent inbound leads like demo requests. Within the hour is the minimum. After that, research shows the odds of qualifying the lead drop sharply, and many buyers have already contacted a competitor.

Why does lead response time matter so much?

Buyers are most engaged in the minutes after they fill out a form. A Harvard Business Review study of 2,241 U.S. companies found that firms contacting leads within an hour were nearly seven times as likely to qualify them as firms that waited an hour longer, and more than 60 times as likely as firms that waited a day or more.

How do I measure my speed to lead?

Compare the form submission timestamp with the first logged call or personal email in your CRM for each lead. Use the median rather than the average so a few very slow leads don't hide the typical experience, and include leads that arrive at night and on weekends.

How can I improve speed to lead without hiring more SDRs?

Route leads automatically to an available rep the moment they arrive, alert that rep in Slack or by text, and let high-intent leads book a meeting directly on the thank-you page. Fix any form-to-CRM sync delays and set up after-hours coverage or instant scheduling for leads that arrive outside business hours.

How does this calculator estimate lost revenue?

It multiplies your monthly inbound leads by your current lead-to-meeting rate, then applies a conservative lift for replying in under five minutes, from 1.3x for 5 to 30 minutes up to 3x for more than a day. The extra meetings are multiplied by your meeting-to-won rate and average deal size, then annualized. You can change the lift to match your own data.
